Terms and Conditions

The Bus Industry Confederation (BIC) reserves the right to decline any exhibitor and/or attendee based on their alignment with our mission and values. We reserve the right to amend and change the exhibiton and registration benefits listed on the agreement(s) at any time, dependant on specific deliverable dates and timing of the agreement execution date.

By completing and submitting the National Bus & Coach Show exhibitor bookings, registration form and/or social function ticketing, exhibitors and attendees agree to the Bus Industry Confederation (BIC) event terms and conditions as outlined below:

COVID-19

The BIC are working to ensure a safe and successful event for all exhibitors, attendees and staff. We are responsive to changing health advice as we navigate the COVID-19 landscape. If you are experiencing any symptoms of COVID-19, stay home, and get tested.

Member Rate(s)**

To qualify for the BIC Member rates, your organisation must meet the following criteria:

  • BIC Member Rate(s): your organisation must be a current (financial) Member of the BIC at the time of purchase and during the Show dates (this is across two financial years).
  • State Association Member Rate(s): your organisation must be a current (financial) Member of the QBIC, BusNSW, TasBus, BusSA and/or BusWA.

Proof may be required to verify your membership status.

Payments

Weather you a are purchasing your exhibition space, registration and/or social function tickets for the show from the Bus Industry Confederation (BIC) ABN: 66 796 837 050. All transactions are in Australian Dollars (AUD) unless otherwise stated. 

Tickets will be delivered electronically via email (eTickets). You can print these or bring them on your device to the event and they will be scanned at the entry doors. eTickets will be issued to the nominated email address within minutes of completing the online registration process.

Once payment is received, an email confirmation and a tax invoice receipt will be sent. Payments MUST be made in full to confirm your registration or exhibition site. Online payments are accepted via Credit Card (MasterCard, VISA and AMEX). Credit card payments will incur a processing fee (AMEX is 3.5%. VISA and Mastercard is 15%). Pay later option allows for EFT or direct deposit payments.

Since February 2015, our online payment service provider Centium Software, is PCI DSS Level 1 compliant. This means, your card holder data is protected to the highest possible levels, from data entry into our online registration sites, through to payment into the banks.

Substitutions and cancellations

Registered exhibitors may nominate an alternative person from their organisation to attend up to 24 hours prior to the start of the event, at no charge. Should substitution not be possible, or the exhibitor requests to cancel their exhibitor booking entirely, the following cancellation charges apply: 

  • Exhibition and exhibitor registration cancellation requests received 120 days prior to the show, are eligible for a refund of 100% of the fee paid less an administration fee of $50.00 per cancellation. 
  • Exhibitor cancellations received after 120 days but before 90 days prior to the show, are eligible for a refund of 50% of the fee paid less an administration fee of $50.00 per cancellation.
  • Exhibitor cancellations received after 90 days prior to the show will not be eligible for a refund.

Requests to cancel registrations must be received in writing at events@bic.asn.au and are subject to BIC being able to re-sell the exhibition space. 

All refund payments will be processes and paid post-event. In the case of an event postponement, your tickets will be transferred to the new dates. In the case of an event cancellation, refunds will be provided to patrons who have purchased tickets for the cancelled event.

Access and mobility requirements

Attendees should advise of any special access requirements in writing to events@bic.asn.au.

Exhibitor Materials

*Any costs associated with furniture, flooring, production, design or development of the exhibitor branded items including banners, flyers, merchandise, and all costs associated with delivery of these items to the venue are the sole responsibility of the exhibitor.

Photography and filming

For promotional purposes, there may be a professional photographer and video production taking place during the event. Attendees who do not wish to be filmed or recorded should opt out during the registration process otherwise advise BIC by email at events@bic.asn.au prior to the event to avoid your image being used in future promotional material.

Data protection and privacy

By submitting exhibition bookings, registration details, exhibitors and attendees agree to allow the BIC and companies associated with the event to contact them regarding their services. Attendees who do not wish to receive such communications please notify us at events@bic.asn.au

The BIC collects, uses, stores and discloses personal information to assist us in performing our event functions and manage our staff. We comply with our obligations under the Privacy Act 1988 (Privacy Act). You can view the BIC privacy policy on the website. Limited contact details of registered delegates will be placed in the attendee directory and may be passed to partnering companies and to all attendees for them to see who is at the for the purpose of networking and meetings. Attendees who do not wish to be included on this list should advise at the time of online registration or email events@bic.asn.au.

Websites and links

The National Bus & Coach Show and associated BIC websites may link to other websites, booking and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which BIC takes no responsibility for, and may have their own policies and terms and conditions users are to read and adhere to.

Program alterations - cancellation/postponement of event 

The BIC reserves the right to make alterations to the program, venue and event timings. In the unlikely event of the program being cancelled by the BIC, a full refund will be made. Liability will be limited to the amount of the fee paid by the exhibitor and/or attendee. In the unlikely situation of the event being postponed or the dates being changed, the organisers shall not be liable for any expenditure, damage or loss incurred by the attendee. If by re-arrangement the event can take place at a different venue in the same city, the booking between the delegate and the BIC shall remain in force and will be subject to the cancellation schedule.

Insurance

It is the responsibility of the exhibitor/attendee to arrange appropriate insurance cover in connection with their attendance at the event. The BIC will not be held liable for any loss, liability or damage to personal property.

Code of conduct

⁠Exhibitor s and/or attendees must:

  • Treat everyone with respect, dignity, courtesy, sensitivity and ensure that they do not become involved in or encourage discrimination or harassment
  • Respect the diversity of experiences, expertise and opinions within the event
  • Act professionally, with discretion, confidentiality and sound judgement and 
  • Act with care and diligence in the course of the event.

Exhibitors

Exhibitors are expected to read and understand the Exhibitor guide and Exhibitor handbook and follow all reasonable requests from the Show oganisers. The Exhibitor handbook is available to download on the Show info site.

Speakers, presenters and panellists

Views expressed by speakers, presenters and/or panelists are their own. The BIC does not accept liability for advice given, or views expressed, by any speaker at the event or in any material provided to attendees.
